We at Dulsco are looking for 3 HR Coordinators for our offices in Warsan, Abu Dhabi, and Ras Al Khaimah, UAE.

Location: Warsan, Abu Dhabi & Ras Al Khaimah

Job Purpose:

The function of the Coordinator-HR is to handle entry-to-exit administrative and operational formalities for all employees in the worker cadre. They will be responsible for ensuring all joining, post-joining and exit formalities are completed in the most efficient way in the least time possible.

Responsibilities & Key activities:

Onboarding and Induction:

  • Ensure arrangement of transport facilities for all new joiners as per the directive of the department on arrival in the country from the nearest airport to the designated camp.
  • Coordinate with the camp administrative team for room and basic amenities allocation.
  • Maintain a count of new joiners and inform the respective departments.
  • Collect the original passport and visa on arrival from the new employees and provide the employees with the copies.
  • Coordinate with Employee Relations Team for the Welcome Induction and ensure necessary attendance with the maintenance of records.

Visa Processing

  • Coordinate with the Visa and PR team for issuance of Emirates ID application forms and visa medical forms.
  • Ensure the service agreements are signed by the employees and duly returned to the Visa and PR team.
  • Arrange transportation for the new joiners with the necessary documents for the visa medical and EID.
  • Ensure timely collection of medical reports in coordination with the Medical Supervisor and submit the reports to the visa and PR team.

Administrative Tasks

  • Issue duty advice and update the salary details in JDE for all new joiners.
  • Handle the application process of all new health insurance cards and ensure each all employees receive their active cards
  • Complete all formalities associated with the issuance of the Company identification cards and coordinate for issuance of ATM cards.
  • Responsible for the maintenance and timely entry and updation of all employee documents like Residence Visa, Passport, and Emirates ID in Sharepoint, DMS, and JDE.
  • Maintain records of all employee-related documents, letters, warnings, requests, transactions, training, etc in SharePoint, DMS, and JDE.
  • Ensure high standards of confidentiality to safeguard any sensitive information.

Separation and Repatriation

  • Inform employees about the job status and if approved for cancellation.
  • Coordinate with Visa and PR team for generation of cancelation document and ensure signature of the employee on the same.
  • After cancellation, inform the employee for the purchase of a ticket or coordinate for repatriation air tickets.
  • Ensure timely handover of Original passport and cancellation document to the employee either at the airport or on submission of the new Visa as the case may be.
  • In case of medically unfit employees, ensure timely repatriation by coordinating with the Visa and PR and transport team.

Other Responsibilities

  • Have frequent interaction with workers to address their operational concerns
  • Ensure attendance of employees in all Trainings, HR Roadshows, and company engagement events.
  • Educate employees on existing HR policies and encourage employees to participate in different company surveys
  • Ensure all employees related notices with translations are displayed on the Notice Boards for the benefit of all.
  • Understand and implement the company safety policies and procedures as described in the Dulsco integrated management system
  • Will be accountable and responsible for duties as described in the HSE roles and responsibilities document of IMS

Qualifications

  • Bachelor’s degree
  • 2-3 Years of HR Administration experience
  • ERP Knowledge and JD Edwards (Not mandatory).
  • MS Office proficiency(Excel, Word and Outlook)
  • Excellent communication skills (Oral and Written)
  • Language: English and any other language(Hindi/Arabic/Urdu/Bengali/Nepali)
